How far in advance should I book?
We recommend booking at least 3–6 months in advance for peak season (May–October). Last-minute bookings are available subject to team availability.
Can I customize a package?
Absolutely. Every event is unique — we'll work with you to build a custom package that fits your needs, budget, and vision.
What gear do you use?
We shoot with Sony A7IV and Canon R5 bodies, G-Master and L-series lenses, and Profoto lighting. All gear is backed by professional insurance.
Do you travel?
Yes — we cover events worldwide. Travel fees apply for locations beyond 50 miles from our studio. International bookings are welcome.

1. Client Data Collection
eventmeoments collects client contact information, event venue coordinates, and payment records purely for servicing obligations.
Contact Information: Full name, email address, phone number, and mailing address for event coordination.Event Details: Venue location, event date, timeline, and specific photography/videography requirements.Payment Records: Transaction history, invoice details, and payment method data (securely processed via PCI-compliant gateways).Communication History: Email correspondence, meeting notes, and client preferences documented for service continuity.
All data is collected with explicit client consent at the time of booking.
2. Image Rights and Confidentiality
We respect VIP confidentiality. Non-disclosure agreements (NDAs) are signed upon client request prior to event commencement.
Client Ownership: Clients retain full ownership of their commissioned images for personal and commercial use.Portfolio Usage: We request permission to use select images in our portfolio, social media, and marketing materials.Privacy Requests: Clients may opt for complete privacy — no images will be shared publicly upon request.Confidentiality Agreements: NDAs are available for high-profile events, corporate projects, and celebrity clients.Data Protection: All client images are stored in encrypted, password-protected systems with restricted access.
3. Data Storage & Security

6. Data Retention Period
We retain client data only as long as necessary to fulfill our service obligations and legal requirements.
Active Clients: Data retained for the duration of the client relationship plus 3 years for reference.Inactive Clients: Data archived after 3 years of inactivity and securely deleted after 7 years.Image Archives: Client images are stored for a minimum of 2 years post-event for re-orders.Financial Records: Retained for 7 years to comply with tax and accounting regulations.Communication Logs: Email correspondence retained for 5 years for service continuity.
7. International Data Transfers
Your data may be transferred to and processed in countries outside your residence, including the United States.
Safeguards: Standard contractual clauses and GDPR-compliant data protection agreements in place.Privacy Shield: We adhere to the EU-US Data Privacy Framework principles where applicable.International Clients: Clients outside the US retain all rights under their local data protection laws.

TERMS & CONDITIONS
Standard service retainer and booking terms.
1. Booking & Retainer
A 30% non-refundable retainer is required to reserve dates. Balance payments are due 14 days prior to event day.
Reservation: Dates are secured only upon receipt of signed contract and retainer payment.Retainer Amount: 30% of total package price, non-refundable for any cancellation.Last-Minute Bookings: Full payment required for bookings made within 14 days of event.Holiday Surcharge: A 20% surcharge applies to bookings on major holidays (New Year's, Christmas, Thanksgiving, July 4th).
2. Payment Terms
We accept all major credit cards, bank transfers, and digital payment methods.
Accepted Methods: Visa, Mastercard, American Express, Discover, PayPal, and wire transfers.Due Dates: Balance payments are due 14 calendar days before the event date.Late Payments: A 5% late fee applies to payments received after the due date.Non-Payment: Services may be canceled without refund for non-payment by the event date.Corporate Invoicing: Net 30 terms available for approved corporate clients with purchase orders.
3. Cancellation & Refund
Cancellations must be submitted in writing via email to be considered valid.
90+ Days Before Event: Full refund of all payments minus the 30% non-refundable retainer.60–89 Days Before Event: 50% refund of balance payments (retainer remains non-refundable).30–59 Days Before Event: 25% refund of balance payments.Less than 30 Days: No refund — all payments are forfeited.Cancellation by Studio: Full refund of all payments if we are unable to provide services.
4. Rescheduling Policy
We understand that plans change — rescheduling is subject to availability.
First Reschedule: Free of charge with 30+ days notice (subject to availability).Subsequent Reschedules: $250 administrative fee applies.Last-Minute Reschedule: Within 14 days — treated as cancellation and new booking required.Weather Rescheduling: Free rescheduling for outdoor events affected by severe weather.
5. Client Responsibilities
Clients agree to provide reasonable cooperation to ensure successful event coverage.
Access: Provide clear access to all event locations and necessary permissions.Schedule: Provide a detailed timeline at least 7 days before the event.Shot List: Submit any specific shot requests at least 5 days prior to the event.Meals: Provide meals for the photography team for events exceeding 6 hours.Safety: Ensure the venue is safe and free of hazards for the photography team.
6. Deliverables & Timeline
Standard delivery timelines for all photography and videography packages.
Sneak Peek: 5–10 edited images delivered within 24–48 hours of the event.Final Gallery: Complete gallery delivered within 2–4 weeks of the event date.Highlight Film: 3–5 minute video delivered within 4–6 weeks of the event.Albums: Designed, proofed, and delivered within 8–10 weeks of the event.Expedited Delivery: Rush service available for an additional 30% fee (half the standard timeline).
7. Copyright & Usage
Copyright ownership and usage rights are clearly defined for all creative work.
Studio Copyright: We retain full copyright ownership of all images and videos created.Client License: Clients receive a perpetual, worldwide license for personal and commercial use.Editing Rights: Clients may not edit, crop, or alter images without written permission.Third-Party Use: Clients may not sell, sublicense, or transfer images to third parties.Portfolio Rights: We reserve the right to use all work in our portfolio and marketing materials.NDA: Confidentiality agreements override portfolio rights upon client request.
8. Limitation of Liability
Our liability is limited to the total contract value of services provided.
Maximum Liability: Total liability shall not exceed the total fees paid by the client.Equipment Failure: We maintain backup equipment but are not liable for act of God failures.Missed Moments: We cannot guarantee capture of specific moments despite best efforts.Client Indemnity: Clients agree to indemnify us against claims from third parties at the event.
9. Force Majeure
Neither party shall be liable for failure to perform due to circumstances beyond reasonable control.
Events Covered: Natural disasters, pandemics, government restrictions, severe weather, strikes, and acts of war.Rescheduling: Force majeure events qualify for free rescheduling (subject to availability).Refunds: No refunds for force majeure cancellations — funds become credit for future services.Notification: Must be notified in writing within 7 days of the event cancellation.
10. Governing Law
All contracts are governed by the laws of the State of California, United States.
Jurisdiction: Any disputes will be resolved in the courts of Los Angeles County, California.Arbitration: Both parties agree to binding arbitration for disputes under $10,000.Severability: If any provision is found unenforceable, the remaining provisions remain valid.Entire Agreement: This contract constitutes the entire agreement between both parties.
